Alumni is your register of former students. Add your graduates to it in bulk, add older past students by hand, and keep a note of where they are now and how to reach them.
- Where Admissions & Students → Alumni
- Who can use it Anyone whose role includes Alumni.
- Set up first Students marked as graduated, through Promotion or Students
Add graduated students
Students only become alumni after they have been marked graduated. Then:
- Click Promote Graduates. The screen lists every graduated student who isn’t on the alumni list yet.
- Pick or type the Graduation Year (applied to all selected), for example 2026.
- Tick the students to add.
- Click Add Selected to Alumni. A message says how many were added and how many were skipped.
Each new alumnus gets their name and their class at graduation (for example JHS 3) copied from their student record.
Tip: When you graduate one student from Students with Add to the Alumni list ticked, they are added here for you. Graduating a whole class in Promotion does not add them; use Promote Graduates afterwards.
Add a past student by hand
For people who left before you started using the app:
- Click Add Alumnus.
- Enter the First Name and Last Name (required).
- Fill in what you know: Class at Graduation, Graduation Year, Phone, Email, Occupation, Current Institution and Notes.
- Click Save.
The alumni list
The list is sorted by graduation year, newest first, then by surname. It shows each person’s class at graduation, year, a contact (phone, or email if there’s no phone), occupation and current institution.
The tiles show Total Alumni and Graduation Years Tracked.
To remove an entry, click the bin icon and confirm.
Good to know
- Alumni entries can’t be edited on this screen. To correct one, delete it and add it again.
- Deleting an alumni entry doesn’t touch the student’s record, results or payments.
- A student can only be on the alumni list once. Students who are not graduated, or already listed, are skipped.
- The occupation, institution and contact details are only as current as you keep them.
