The Billing Dashboard shows how well fees are being collected across the whole school. Pick a period and see what was billed, what came in, what is still owed, and which classes are behind.

- Who can use it Anyone whose role includes Billing Dashboard. It only shows figures; nothing can be changed here.

Choose a period
The first time you open it, the dashboard shows the current term. Use the Period list to change it:
- any term that has started, for example Second Term 2025/2026, or Whole year;
- Last 30 days or Last 90 days;
- Custom range…, which shows From and To date boxes;
- All time, the school’s whole history.
A line under the bar repeats the period in words. Your choice is remembered, and the Finance screen uses the same period, so you can move between the two without picking it again.
What the four boxes mean
| Box | What it counts |
|---|---|
| Expected (billed) | The total of the invoices for the term or terms in the period. |
| Collected | Receipts dated inside the period, whatever invoice they paid. |
| Outstanding | What is still unpaid on those invoices. |
| Collection Rate | How much of the billed amount has been paid, as a percentage. |
A note under the boxes says which invoices are being counted. If a term has no invoices yet, Expected is worked out from the class fees instead, and the note says so.
Because Collected goes by the receipt date, a parent who pays last term’s arrears this term is counted in this term’s Collected.
Collection by class and fee type
Collection by Class lists each class with Expected, Collected, Balance and Rate. The rate badge is green at 80% or more, amber from 40%, and red below 40%, so classes that need chasing stand out.
Billed by Fee Type shows how much of the billing comes from each fee, for example tuition, feeding or PTA levy. With All time or when nothing is invoiced yet, it is headed Expected Revenue by Fee Type and works from the class fees.
Compare with an earlier period
Switch on Compare with previous period. Each box gains an up or down arrow showing the change against the period before, and each class shows how its collections moved. If the earlier period has no records, the line under the bar says no changes are shown.
