Terms splits each academic year into its terms (for example First Term, Second Term, Third Term) and marks the one running now as active. The same page keeps your school’s holidays and closed days.
- Where School → Terms
- Who can use it Anyone whose role includes Terms. Other screens (such as Attendance QR) can still read the term list without it.
- Set up first Academic Years
Add a term
- Click Add Term.
- Type a Name, for example First Term.
- Check the Academic Year. It starts on the active year; pick another if this term belongs elsewhere.
- Choose the Start Date and End Date. The start must be before the end.
- Click Save Term.
Repeat for each term of the year. To change a term later, click the pencil next to it.
Tip: Use the year in the name only if it helps you, for example First Term 2026/2027. The list already shows each term’s academic year in its own column.
Make it the active term
A new term starts inactive. Click Activate on the term that is running now. It becomes Active and the previous active term is switched off. Only one term is active at a time.
The active term matters in several places:
- Student attendance QR codes only work during the active term. See Attendance QR.
- Billing uses the active term when no other term is chosen.
- Appraisals and the staff check-in gate use the active term’s dates.
Other statuses: Upcoming (start date still ahead), Ended (end date passed) and Inactive (today falls within its dates but it hasn’t been activated).
Remember at the start of every term: the active term doesn’t change by itself when the dates pass. Come here and click Activate on the new term.
Holidays & closed days
Below the terms, Holidays & closed days lists the days the school is shut for the year you pick in the year box.
- Add Ghana public holidays adds the year’s suggested public holidays in one click and tells you how many were added. Check them against the official calendar and remove any that don’t apply.
- To add your own, type a Name (for example Mid-term break), choose the Date, and for several days in a row an Until (optional) date. Click Add.
- Click the bin next to a day and confirm to remove it.
Each day is labelled Public holiday or School. Staff attendance treats these days as closed: no reminders go out and they don’t count in the monthly percentage.
Eid dates change every year and are announced late, so add them yourself once they are known.
Good to know
- There is no delete button for terms on this screen. Fix a mistake by editing the term’s name and dates.
- If Activate seems to do nothing, refresh the page and try again.
- A term can be saved with No academic year, but it’s clearer to keep every term inside its year.
