Clinic is the school sick bay’s visit book. Each time a student is seen, you record their symptoms, what you think is wrong, what you gave them and, if needed, a date to see them again.

- Who can use it Anyone whose role includes Clinic. Health notes are private, so give this module only to the school nurse or health staff.

The Clinic screen
Four boxes at the top give you the picture at a glance:

| Follow-ups Pending | Visits with a follow-up date of today or later. |
| Students Seen | How many different students have visited. |
Below, the Clinic Visits table lists visits newest first, with the date, student, diagnosis and follow-up date.
Record a visit
- Click Record Visit.
- Search for the Student by name or admission number and pick them.
- Check the Visit Date (it starts on today).
- Fill in Symptoms (for example headache and fever since morning), Diagnosis (for example suspected malaria) and Treatment (for example paracetamol given; parent called).
- If the student should come back, set a Follow-up Date (optional).
- Click Save Visit.
Only the student and the date are required, but the notes are what make the record useful later.
Update or delete a visit
Click the pencil icon on a visit to add to the symptoms, diagnosis or treatment, or to change or clear the follow-up date. The student and visit date are locked once a visit is saved; if either is wrong, delete the visit and record it again.
Click the bin icon and confirm to delete a visit for good.
Tip: After a follow-up check, edit the original visit and note the outcome in Treatment, then clear the follow-up date so it no longer counts as pending.
Look at one campus
If your school has more than one campus, a drop-down appears beside Record Visit. Choose a campus to see only visits by students whose class belongs to it; the boxes at the top change to match. Choose All Campuses to see everyone again.
Good to know
- Visits are for students only. There is no record for staff visits.
- Clinic visits are not shown to parents or students in the portal, and nobody is notified automatically. Contact the parent yourself if needed.
- After you save, edit or delete a visit, the list goes back to all campuses.
- There is no medicine stock here. Track supplies in Inventory.
- Clinic visit counts also appear on the Staff & operations tab of Analytics for people whose role includes Clinic.
