Fee Types is your school’s list of things you charge for, such as Tuition Fee, PTA Levy or Feeding. You set the names once here; the amounts are set per class in Class Fees.
- Where Finance & Billing → Fee Types
- Who can use it Anyone whose role includes Fee Types.
Add a fee type
- Click Add Fee Type.
- Type the Name as parents should see it on invoices, for example Tuition Fee.
- Optionally add a short Code (optional), for example TUI, and a Category (optional), for example Levy or Feeding.
- Click Save Fee Type. It appears in the list.
A typical basic school list might look like this:
| Name | Code | Category |
|---|---|---|
| Tuition Fee | TUI | Tuition |
| PTA Levy | PTA | Levy |
| Feeding Fee | FED | Feeding |
| ICT Levy | ICT | Levy |
Tip: Keep one fee type per thing you charge for, and set different amounts for different classes in Class Fees. You don’t need Tuition JHS 1 and Tuition JHS 2 as separate types.
Edit or delete a fee type
- Click the pencil icon, change the details and click Save Fee Type.
- Click the bin icon and confirm to delete it.
A fee type that is assigned to any class, or linked to a payment, can’t be deleted. Remove it from Class Fees first. If payments already use it, keep it.
What happens next
- In Class Fees, give each fee type an amount and frequency for each class.
- In Class Billing, bill the term, which creates an invoice for each student.
- Record what parents pay in Student Billing or Payments.
Good to know
- A fee type on its own charges nobody. Nothing is billed until it has an amount in Class Fees and the term is billed.
- The code and category are optional and only help you sort and recognise fees.
- One-off charges for a single student, such as a replaced uniform, don’t need a fee type. Add them as a custom charge on the student’s invoice in Student Billing.
