Report Cards

Generate and print student report cards.

Report Cards shows each student’s terminal report as a real PDF, exactly as it will print. Here you add the class teacher’s and head teacher’s remarks, conduct and promotion status, then print or download one card or the whole class in one file.

  • Where Exams & Grading → Report Cards
  • Who can use it Anyone whose role includes Report Cards. Teachers can write the class teacher’s remark and assessments, but can’t change the head teacher’s remark or the promotion status.
  • Set up first Scores in Score Entry, and your badge and colours in School Setup

Preview a report card

  1. Choose the Exam Period and the Class.
  2. Choose the Student. Cards above the preview show their Position, Total Score, Average, Attendance and, if your school prints one, Overall Grade.
  3. To try another look, change the Design. The preview redraws; the school default is marked (school default).

The card brings together the student’s subject scores with grades, remarks and position in each subject, their class position, aggregate, attendance for the term, remarks, promotion, vacation and next-term dates, the grading key and, if switched on, the fees still owing.

Add remarks and conduct

  1. Below the preview, fill in the Class Teacher Remark, then Conduct, Attitude, Interest and Talent / Extra-curricular, for example Very good or Choir, debating.
  2. The Head Teacher adds the Head Teacher Remark.
  3. For an end-of-year report, set Promotion Status to Promoted to next class, Repeating this class or Under review.
  4. Click Save Remarks. The preview redraws with them.

Promotion Status only prints on the card (for example Promoted to JHS 3). It doesn’t move anyone; use Promotion for that.

At a tertiary institution the labels read Academic Advisor Remark and Principal Remark, and a View Transcript (GPA/CGPA) button shows the student’s semester GPAs.

Print or download

  • Open / Print opens the student’s PDF in a new tab, ready to print in full colour. Pressing Ctrl+P (Cmd+P on a Mac) on the preview does the same.
  • Download PDF saves the student’s card as a file.
  • Whole Class PDF builds one file with every active student in the class, one per page, in surname order. Large classes take a few seconds.

Every design carries your badge (or a crest made from your initials), name, motto and contact details in your school colours.

School-wide options

These are set once in School Setup, under Report Card Design:

  • The default design: click a design picture.
  • Show the outstanding fees balance on report cards: prints what the student still owes on their invoices.
  • Print signatures on report cards: see below.
  • Print an overall grade on report cards: the average of the student’s subject totals, rounded to one decimal place and graded on the exam’s scale (for example Overall Grade: B). Subjects with no score are left out, not counted as 0. Once ticked you can also choose Show the average next to the grade, e.g. “B (74.0%)” and tick subjects to leave out of the overall grade.

Signatures

With Print signatures on report cards ticked, the class teacher’s and head teacher’s signatures stand on their signature lines.

  • Class teacher: the Class Teacher chosen for the class in Streams & Classes. If none is set, a teacher assigned at least three subjects in that class is used.
  • Head teacher: the active staff member whose position is Head Teacher, Headmaster, Headmistress, Principal, Head of School or Rector (not an assistant, deputy or vice).

Each person adds their own signature under Settings → My signature, or an administrator or head teacher adds it on their record in Teaching Staff or Non-teaching Staff. Signatures are kept private and are never put on a public web address.

Good to know

  • Report cards use each student’s current class. After Promotion a student’s earlier report cards come up empty, so print them before you promote.
  • Staff can preview a card at any stage. Parents only see it in the Parent Portal once the exam period is Published (or later archived), and not while it is Withheld.
  • Attendance counts from the start of the term to the exam period’s end date. Late counts as present.
  • Remarks belong to one exam period, so each term’s card has its own.
