Admissions is your applications pipeline. You record each applicant, review their details, approve or reject them, and enrol the ones you accept. Enrolling turns an applicant into a student in a class, with their parents linked.
- Where Admissions & Students → Admissions
- Who can use it Anyone whose role includes Admissions.
- Set up first Streams & Classes (you need a class to enrol an applicant into)
Add an application
- Click Add New Admission.
- On the Application Info tab, fill in the Form Number (for example ADM-2026-001), First Name, Last Name and Level Applied (for example Basic 6). Gender and date of birth are optional.
- On the Guardians tab, enter at least the parent’s first name, last name and phone. Click Add another parent, guardian, or sponsor for a second one.
- Fill in the Medical Information and Biodata & Birth Records tabs if you have the details. All of these boxes are optional.
- Click Save Admission. The applicant appears in the list as Pending.
Every form number must be unique. If you reuse one, you’ll see “An admission with this form number already exists.”
If your school website has an online admission form linked to the app, applications sent from it also arrive here as Pending.
Review, approve or reject
Click Review on any applicant to see everything on their application, including parents and medical details, in one window. From there you can click Approve or Reject.
You can also click Approve or Reject straight from the list. These buttons only show while an application is Pending.
Enrol an approved applicant
- Find the applicant (now Approved) and click Enroll.
- Type their Admission Number, for example STD-0105. This must not already belong to another student.
- Choose their Class. If exactly one class matches the level they applied for, it is chosen for you.
- Check the guardians, medical and biodata tabs. They are filled in from the application, and you can change them.
- Click Confirm Enrollment.
The applicant becomes an active student in that class and shows up in Students. The first parent is set as the primary contact. If a parent’s phone number is already on file, the student is linked to that existing parent instead of creating a duplicate.
Tip: To add a student who never applied (for example a transfer you’ve already accepted), skip Admissions and use Register Student in Students.
What the statuses mean
| Status | Meaning | Buttons you’ll see |
|---|---|---|
| Pending | New, not yet decided | Review, Approve, Reject |
| Approved | Accepted, not yet a student | Review, Enroll |
| Rejected | Turned down | Review |
| Enrolled | Now a student | Review |
The tiles at the top count your total applicants and how many are pending, approved and enrolled.
Good to know
- Once an applicant is enrolled, their status can’t be changed again.

- You can’t edit or delete an application from this screen. Fix any details at the enrolment step, or on the student’s record afterwards.
- The list shows your 100 most recent applications.
- Enrolling needs at least one parent, guardian or sponsor with a first name, last name and phone number.
