Streams & Classes

View and manage classes for active academic years.

Streams & Classes is where you create the classes students are admitted into, such as Basic 6 or JHS 2 A. Streams are optional groupings for those classes, such as Science and Arts, or section letters like A and B.

  • Where School → Streams & Classes
  • Who can use it Anyone whose role includes Streams & Classes. Other screens can still read the class list to fill their class pickers.
  • Set up first Academic Years; Campuses if you have more than one site

Start from a template

Schools that run levels below tertiary see a Starter Templates card. It creates the usual classes and subjects for a typical Ghanaian school in one go.

  1. Pick a template, for example Ghana Junior High School (JHS) or Ghana Basic School (KG through JHS). Each option shows how many classes and subjects it adds.
  2. Click Apply Template and confirm.

Only the classes and subjects you don’t already have are created, and every subject is assigned to every class. Nothing you already set up is changed or removed, so it’s safe to use even after you’ve started.

Tip: After applying a template, review Class Subjects and remove any subject a class doesn’t take.

Add a stream

  1. Click Add Stream.
  2. Type the Stream Name (for example Science) and an optional Code (for example SCI).
  3. Click Save Stream.

You don’t need streams at all. A class without one simply shows Unassigned.

Add a class

  1. Click Add Class.
  2. Fill in the Level Label (for example Basic 6) and the Name (for example Basic 6 A). Only the name is required.
  3. Choose the Education Level, such as Primary, JHS or SHS. Tertiary levels only appear if your school runs them, and basic and SHS levels only if it runs those.
  4. Optionally choose a Stream.
  5. Check the Academic Year. New classes start on the active year.
  6. Choose the Class Teacher (signs report cards). The list shows active teaching staff only.
  7. If you use campuses, choose the Campus (optional).
  8. Click Save Class.

The classes table shows each class’s level, education level, stream, campus and number of active students.

Tertiary schools: the field is called Academic Advisor when your school runs only tertiary levels. Choose Tertiary / College or Postgraduate as the education level; postgraduate entries are treated as cohorts throughout the app.

Edit or delete

Use the pencil to change a stream or class and the bin to delete it (you’ll be asked to confirm).

  • A class that still has students in it can’t be deleted. Move the students first in Students or Promotion.
  • A stream that is still set on any class can’t be deleted. Change those classes first.

Good to know

  • The cards at the top count streams, classes and enrolled students, and warn you about Classes Without a Stream. That’s only a reminder; classes work fine without one.
  • If the teacher you want isn’t in the Class Teacher list, add them in Teaching Staff first, then come back and edit the class.
  • Starter templates aren’t offered to schools that run only tertiary levels.
  • Each year, use Promotion to move students up. You don’t need to create new classes every year.
