ID Cards

Generate and print student ID cards by class.

ID Cards prints a student ID card for everyone in a class in one go. The front carries the school’s name, logo and colour with the student’s photo and details. The back can carry the student’s attendance QR code for the term.

  • Where Admissions & Students → ID Cards
  • Who can use it Anyone whose role includes ID Cards. To print the QR code on the back, the role also needs Attendance QR.
  • Set up first School Setup (name, logo, colour), Terms for the QR backs, and student photos in Students

Print a class’s cards

  1. Choose the Class, for example JHS 2. A card appears for every active student in it.
  2. Under QR Term (for the back of the card), the active term is already chosen. Pick another term, or No QR code for fronts only.
  3. Check the cards on screen under Fronts and Backs (attendance QR).
  4. Click Print Cards. Your browser’s print window opens; print, or save as PDF.

Tip: For double-sided cards, print the fronts, put the sheets back in the printer, then print the backs. Do a test sheet first to check the cards line up.

What’s on the front

ItemComes from
School name, logo, colour, motto (or address)School Setup
PhotoThe student’s photo, or a blank outline if none
Name, Class, Gender, Date of BirthThe student’s record
IssuedToday’s date
ExpiresEnd date of the active academic year
Admission numberAlong the bottom of the card

To fill in missing photos quickly, use Photo day in Students before printing.

The QR code on the back

Each back shows the student’s name, a QR code and “Scan to mark attendance”. Teachers scan it in Attendance QR to mark the student present.

The code belongs to that student for that term. Printing the cards again for the same term gives the same codes, so cards you’ve already handed out keep working. A new term needs new cards.

If a card is lost, click Regenerate for that student in Attendance QR and print a new card; the lost card stops working.

Good to know

  • Only active students are printed. Withdrawn, transferred and graduated students are left out.
  • If no academic year is marked active, Expires shows a dash.
  • If the backs don’t appear even with a term chosen, check that your role includes Attendance QR.
  • Cards are printed from the browser; the layout is not a separate PDF file.
