Attendance QR gives every student a QR code card for the term. At the gate or the classroom door you scan the cards with a scanner or a camera, and each student is marked present on today’s register. Each code only works during the term it was printed for.
- Where Attendance & Timetable → Attendance QR
- Who can use it Anyone whose role includes Attendance QR can print codes. To scan and mark students, the role also needs Attendance.
- Set up first Terms (one term must be active) and Streams & Classes
Print the cards
- Open the Generate & Print tab.
- Choose the Term. The active term is chosen for you and labelled (Active).
- Choose the Class, for example JHS 2. A card appears for each active student, with their QR code, name and admission number.
- Click Print Codes, then cut out the cards and hand them out.
Opening the same term and class again shows the same codes. Students who already have a code keep it, so cards you’ve handed out still work.
Replace a lost card
Find the student’s card on the Generate & Print tab and click Regenerate, then confirm. They get a new code straight away and the old card stops working, so someone who finds it can’t use it. Print the new card for them.
Scan cards
- Open the Scan Attendance tab. The heading shows the active term, for example Scan for Term 1.
- With a USB or Bluetooth QR scanner: click in the scanner box, then scan each card. The box stays ready for the next card.
- With a phone or tablet camera: click Use Camera Instead, allow camera access, and hold each card up to the camera. Click Stop Camera when you’re done.
- After each scan a large result card appears with the student’s photo, name and class. It closes by itself, or tap it to carry on sooner. Show result sets how long it stays: 2, 3, 5 or 8 seconds.
The Marked Today list underneath shows everyone marked today, newest first, with the time and how they were marked (qr, manual, register or device). Choose a Class to see only that class, or leave it on Whole school.
The camera button only appears in browsers that can read QR codes, such as a recent Chrome or Edge. Otherwise, use a scanner or the scanner box.
What the result card means
| You see | What happened |
|---|---|
| Marked present | The student is now Present on today’s register. |
| Already marked … | They already had a mark today, maybe from the class register. Nothing changes. Check the card belongs to the child holding it. |
| This card was just scanned | The same card was scanned again within two minutes. Nothing changes. |
| Old card (another term) | The code is from a different term. Print a new card for the active term. |
| Card from another school | The code isn’t one of your school’s codes. |
| Card not accepted | The code isn’t recognised, or the student has left or has no class. The message says which. |
Always compare the photo with the child. If there’s no photo on file, the card says so; check the name instead.
No card? Mark by name
- Click No card? Mark by name.
- If you chose a class, its students are listed; type to filter. On Whole school, type at least two letters of a name or admission number.
- Tap the student, check the photo, then click Mark present.
Students already marked today are greyed out. A mark made by name shows as manual on today’s list.
Good to know
- Scanning only ever marks students Present for today. It never overwrites a mark that’s already there. To mark someone absent or late, or to fix a mark, use Attendance.
- If no term is active, the scan tab tells you to activate one in Terms first.
- When a new term becomes active, last term’s cards stop working. Print new cards at the start of each term.
- Only active students get cards. Withdrawn, transferred and graduated students can’t be marked by scanning.
