School Setup

Configure school profile, academic identity, contacts, and base system setup.

School Setup holds your school’s profile: name, levels, contact details, location, logo and colours, plus the report card design you print by default. These details head your report cards and other printed documents, so fill them in first.

  • Where School → School Setup
  • Who can use it Anyone whose role includes School Setup. Only a Super Admin can add or delete schools; a school Admin edits their own school only.

Fill in your school’s details

  1. In the Schools list, click the pencil (Edit) next to your school.
  2. Under Basic Information, enter the School Name and School Code (both required), your Motto / Mantra, Registration Number and Currency (for example GHS — Ghana Cedi).
  3. Under Contact Information, add Phone 1, Phone 2, WhatsApp, Email and Website.
  4. Under Location, choose the Region, then type the District and Full Address.
  5. Optionally add your Social Media Pages (Facebook, Instagram, Twitter / X, YouTube, TikTok).
  6. Click Save School Information.

The list then shows your school with its levels, number of students and classes, phone and region. The Setup column has shortcuts to Academic yrs, Classes, Students and Billing.

School levels

Under School Level, tick every level the school runs: Preschool, Primary, JHS, SHS and/or College. A school with several levels under one roof ticks all of them.

The levels decide the wording across the app. Ticking College adds tertiary features such as credit hours and GPA/CGPA. The change takes effect as soon as you save.

Logo, banner and colours

Under Branding, pick a Primary Colour and Secondary Colour, then click the School Logo or Cover Banner box to choose an image.

Save first: the first time you open the image picker, the page may need to reload and asks you to confirm. Anything you haven’t saved on the form is lost, so click Save School Information before choosing images.

Report card design

The Report Card Design section shows each design as a picture. Choose the one printed by default; Report Cards can still preview and print any other. Every design carries your logo, name, motto and contact details in your colours.

  • Show the outstanding fees balance on report cards: prints what the family still owes.
  • Print signatures on report cards: adds the class teacher’s and head teacher’s signatures, once they have been uploaded in HR or in each person’s Settings.
  • Print an overall grade on report cards: averages the student’s subject totals for the term and grades the average on the exam’s grading scale. Subjects with no score are left out rather than counted as 0. When ticked, you can also show the average next to the grade (for example B (74.0%)) and tick subjects to leave out of the overall grade.

You can only pick subjects to leave out for the school you’re currently working in.

Student photos

Below the form, Student photos controls a faint watermark with your school’s name on student photos shown on screen. Tick Watermark student photos, choose the Strength and Watermark text, and optionally Also watermark photos on report cards and ID cards. Click Save photo settings. This part saves on its own, separately from the school details. The photos you’ve stored are never changed.

Running several schools

A Super Admin sees every school, with a search box when the list is long.

  • Add New School opens a blank form. After saving, the app switches to the new school and opens a short setup wizard (see Getting started).
  • The Setup shortcuts on another school’s row switch you to that school first.
  • The bin icon opens a two-step deletion wizard. Review lists everything that will be deleted. Confirm asks you to type the school’s name before Delete Permanently works.

Deleting a school cannot be undone. Every record that belongs to it is removed. Take a backup first in Backups.

Good to know

  • Each school code must be unique. You’ll see an error if another school already uses it.
  • A school Admin sees only their own school, with no add or delete buttons.
  • Campuses, academic years and classes are set up on their own screens; use the stepper at the top to move on.
