Academic Years lists your school’s sessions, such as 2026/2027, and marks one of them as the active year. Terms, classes and billing hang off these years, so set the current one up before anything else.
- Where School → Academic Years
- Who can use it Anyone whose role includes Academic Years.
- Set up first School Setup
Add an academic year
- Click Add Academic Year.
- Enter a Name, for example 2026 / 2027.
- Choose the Start Date and End Date. All three fields are required, and the start must be before the end.
- Click Save Academic Year.
To fix a name or date later, click the pencil next to the year, change it and save.
Make it the active year
A new year is not active until you say so. Click Activate on its row. Its status changes to Active and the year that was active before is switched off. Only one year can be active at a time.
The active year is the one the app assumes when you don’t pick another. For example:
- A new term is placed in the active year unless you choose a different one.
- A new class is given the active year unless you choose a different one.
Using the setup wizard? The year it creates is not activated. Come here afterwards and click Activate.
What the statuses mean
| Status | Meaning |
|---|---|
| Active | The current year, chosen with Activate. |
| Upcoming | Not active, and its start date is still ahead. |
| Ended | Not active, and its end date has passed. |
| Inactive | Not active, although today falls between its dates. Click Activate if this should be the current year. |
The cards at the top count the years and show which one is active, how many are upcoming and how many are completed.

Good to know
- There is no delete button, so a year you add stays on the list. Fix a mistake by editing its name and dates.
- If the Activate button seems to do nothing, refresh the page and check the year still exists.
- The year doesn’t move on by itself when the dates pass. You choose when to activate the next one.
