Transport

Manage school transport routes and vehicles.

Transport keeps track of your school buses: the vehicles, the drivers, the routes they run, and which students ride each route and where they are picked up.

  • Where Operations → Transport
  • Who can use it Anyone whose role includes Transport.
  • Set up first Students; Campuses if you run buses for more than one campus

Set things up in this order

The screen is laid out top to bottom in the order you need: Vehicles, Drivers, Routes, then Student Assignments. A route picks its vehicle and driver from the first two lists, so add those first.

The boxes at the top show Total Routes, Total Capacity (seats across all routes), Students Assigned and Routes At Capacity (routes that are full).

Add vehicles

  1. In the Vehicles card, click Add Vehicle.
  2. Enter the Vehicle Number, for example GR-1234-24, and the Make/Model (optional), for example Toyota Coaster.
  3. Enter the Capacity (seats) and choose a Status: Active, Maintenance or Retired.
  4. Add any Notes (optional) and save.

Change the status when a bus goes in for repairs or is taken out of service. A vehicle can’t be deleted while a route still uses it.

Add drivers

  1. In the Drivers card, click Add Driver.
  2. Enter the Name, for example Yaw Boateng, and the Phone (optional).
  3. Add the License Number (optional) and License Expiry (optional).
  4. Save. New drivers start as Active; edit a driver later to set them Inactive.

A driver can’t be deleted while a route still uses them.

Create routes

  1. In the Routes card, click Add Route.
  2. Enter the Route Name, for example Route A – Madina.
  3. Choose the Driver (optional) and Vehicle (optional).
  4. Set the Capacity (0 = unlimited), usually the number of seats on the bus.
  5. If you have several campuses, choose the Campus (optional). Then save.

The Students column shows riders against seats, for example 28 / 30; it turns red when the route is full. Use the campus drop-down above the table to see one campus’s routes.

A route can’t be deleted while students are still assigned to it. Remove them first.

Assign students to a route

  1. In the Student Assignments card, click Assign Student.
  2. Choose the Route.
  3. Search for the Student by name or admission number. Only active students are found.
  4. Type the Pickup Point (optional), for example Madina Market, and save.

The app refuses the assignment if the student is already on that route or the route is full. To take a student off a route, click the bin icon on their row and confirm.

Click Export on the Routes or Student Assignments card to download a CSV list, handy for giving each driver a printed list of riders and stops.

Good to know

  • A route’s capacity is set on the route itself. It isn’t taken from the vehicle, so update it if you swap to a smaller bus.
  • A student can be put on more than one route (for example a morning and an afternoon route). Only putting them on the same route twice is blocked.
  • The app doesn’t warn you when a driver’s licence is about to expire. Check the License Expiry column yourself.
  • Bus fees are not charged from here. Set them up in Fee Types and bill them as usual.
