Grades Setup

Configure grading scales and grade boundaries.

Grades Setup holds your grading scales: the bands that turn a score into a grade and a remark, for example 80–100 = 1, Excellent. Each exam period uses one scale, so every subject total, overall grade and aggregate is graded from here.

  • Where Exams & Grading → Grades Setup
  • Who can use it Anyone whose role includes Grades Setup.

The scales you start with

Your school comes with ready-made scales for the levels it runs. The note at the top of the screen lists them.

  • Basic and secondary schools: a BECE 9-point scale (JHS), a WASSCE A1–F9 scale (SHS) and standards-based proficiency levels for KG and Primary.
  • Schools with tertiary: a 4.0 grade-point (GPA) scale.

WAEC grades the real BECE and WASSCE nationally, so these scales are for your own mock and end-of-term grades. Change any band to match your school’s policy.

Add a grading scale

  1. Click Add Grading Scale.
  2. Type a Name, for example Lower Primary Scale.
  3. Choose the Type: Numeric (e.g. 1-9) or Letter (e.g. A1-F9).
  4. Click Save Grading Scale. The new scale appears in the list with no bands yet.

The type matters for aggregates on the Results screen: a numeric scale gives a BECE-style aggregate, a letter scale with A1–F9 symbols gives a WASSCE-style one.

Add or change bands

  1. Click Manage Bands next to the scale.
  2. Click Add Band, or the pencil icon to edit one.
  3. Fill in Grade Symbol (for example 2 or B2), Min Score, Max Score and a Remark such as Very Good.
  4. Click Save Band.

Scores are out of 100, so bands run from 0 to 100. The min score can’t be higher than the max score.

At a school with tertiary there is also a Grade Point (GPA scales only) box. Fill it in on a GPA scale so a score in that band counts towards a student’s GPA and CGPA. Leave it blank on a basic or SHS scale.

How a score finds its grade

A score gets the highest band whose Min Score it reaches. Totals are worked out to two decimal places, so a student on 79.50 gets the 70–79 band, not “no grade”, even though 79.50 is above 79.

BandMinMaxScore 79.50 gets
1 · Excellent80100no (below 80)
2 · Very Good7079yes
3 · Good6069no (a higher band matched first)

Tip: Check that your lowest band starts at 0. A score below every band’s min gets no grade or remark.

Good to know

  • You choose which scale an exam uses when you set up the exam period in Score Entry.
  • A scale that is used by any exam period can’t be deleted. Deleting an unused scale also deletes its bands.
  • Each subject’s grade and remark is stored when its scores are saved. If you change a band later, scores already saved keep their old grade until they are saved again in Score Entry (only possible while the exam period is Draft or Returned).
  • Default scales for a level your school doesn’t run are hidden, unless an exam period already uses them.
