Score Entry is where each exam is set up as an exam period, where teachers type in CA and exam marks class by class, and where the Head Teacher checks, approves and publishes the results.
- Where Exams & Grading → Score Entry
- Who can use it Anyone whose role includes Score Entry. Teachers (staff with a Teaching staff record linked to their login) only see the classes and subjects they are assigned, and can only enter marks. Setting up exams and moving them through checking and publishing is for the Head Teacher and administrators.

Set up an exam period
- Click Add Exam Period.
- Type a Name such as Term 1 Exams 2026 and choose the Type: Regular, Mock BECE, Mock WASSCE or Other. The mock types only appear if your school runs JHS or SHS.
- Choose the Grading Scale and CA Scheme. Both are required.
- Optionally pick the Academic Year, the Start Date and End Date, and Next Term Begins.
- Click Save Exam Period. It starts as Draft.
Tip: Set the dates. Report cards use them to find the term, count attendance and print the vacation date. If Next Term Begins is left blank, the report card uses the start of the next term in Terms.
Enter scores
- Click Enter Scores on an exam period that is Draft or Returned.
- Choose the Class and Subject. The class’s active students load.
- Type each assessment mark out of the number shown in its column heading, for example Classwork (/20), then the Exam (/100) mark. CA %, Total and Grade update as you type.
- To give a student one overall CA percentage instead, tick Manual CA on their row and type the percentage.
- Click Save Scores. A message says how many were saved, and the Saved Scores List below fills in with the full breakdown and each student’s position in the subject.
A student whose row you leave completely blank is skipped, not saved as 0, so a student who hasn’t sat the paper yet doesn’t get a zero. The message after saving tells you how many were left out. If you fill in some boxes in a row, any empty box in that row counts as 0.
In the Saved Scores List, the pencil takes you to that student’s row to change it (then click Save Scores again), and the bin deletes that subject result.
How the total is worked out
The roster heading shows the split, for example CA weight 30% + Exam weight 70% = 100%. Each CA item is turned into a percentage of its own maximum and counted at its own weight; the marks are not just added up. Then the exam mark is scaled to the exam weight.
Example: Kwame Mensah gets 15/20 classwork, 30/50 in a test and 8/10 for a project (10% each), and 64 in the exam. His CA counts 7.5 + 6.0 + 8.0 = 21.5 of 30, his exam counts 64 × 70% = 44.8, and his total is 66.3. See CA Setup for the full table.
Figures are stored when you save. Scores saved before a change to the CA scheme or grading scale (or before èLyn weighted each CA item this way) keep their old figures until they are saved again.
Check, approve and publish
The Head Teacher or an administrator moves each exam period along using the buttons on its row. Marks can only be entered or changed while it is Draft or Returned.
| Status | Buttons you’ll see | What happens |
|---|---|---|
| Draft | Submit for Moderation | Marks are being entered. |
| Submitted / Under Moderation | Start Moderation, Approve, Return for Correction | Marks are locked while they are checked. Returning asks what needs correcting. |
| Returned | Resubmit for Moderation | Open for corrections again. |
| Approved | Lock for Publication | Ready to release. |
| Locked | Publish | Frozen ahead of release. |
| Published | Withhold, Archive | Parents can see the report cards in the portal. Withholding asks for a reason. |
| Withheld | Republish, Archive | Hidden from parents until republished. |
When you publish, guardians get an SMS saying results are ready in the parent portal, if an SMS gateway is set up in Integrations and the guardian hasn’t opted out.
Check before you approve. Once a period is Approved there is no button to send it back to Draft, so marks can’t be changed from this screen any more.
Mock BECE and WASSCE candidates
For a Mock BECE or Mock WASSCE period, a candidates panel appears above the class picker. Click Register Candidate, choose the Class and Student, type the Index Number (and the Programme/Track for WASSCE), then click Register. These are your school’s own records; nothing is checked with WAEC.
Good to know
- Only an exam period in Draft with no scores saved can be deleted.
- Scores are saved against the class the student was in at the time. Enter and publish scores, and print report cards, before you run Promotion.
- Teachers who can’t see a class or subject should ask for it to be assigned to them in Teaching Staff.
- Each change of status is written to the audit log.
